Campus moves are a significant undertaking which require the coordination of many campus groups, each having unique processes for obtaining move information. If you are planning a move, it is important that you contact all involved groups early and often to discuss the move and establish timelines.

The department that is moving should be designate at least one employee to serve as a move coordinator. Move coordinators are tasked with preparing the department to move. A significant amount of the move coordinator’s time will be needed in the six months leading up to the move. It is important that the move coordinator have the time available to perform move-related activities in the months preceding the move. The move coordinator should also possess a high level of knowledge about the department or be positioned to easily obtain move-related information. Needed information includes:
Capital Planning & Development (“CPD”) helps navigate the move process for moves that are attached to CPD projects. Eric Smith, the CPD move coordinator, serves as a liaison for the moving company, the department, and CPD. and is a resource for the department to ask questions or find solutions for move related issues. The CPD move coordinator also assists with scheduling, meeting move goals, and managing the moving company. NOTE: the CPD move coordinator does not submit forms or contact groups on campus to schedule move services.
Space Management classifies a move into three sizes- small, medium, and large. Space management specifically helps navigate the move process for most large moves and some medium sized moves.

If the total move will cost $25,000 or less, the department can directly contact a professional moving company. The following list of companies are approved for non-project based moves paid out of department funds:
Moves expected to cost more than $25,000 must be procured through OSU’s informal procurement process. Capital Planning and Development helps to navigate the process for these moves.

Large Moves are typically connected to Capital Planning and Development project funds and require an OSU informal bid process. This bid process is conducted by the CPD move coordinator with the department’s assistance.
